AI receptionist or answering service: an honest comparison

We sell one of these. Here is the honest version, including the cases where the other one is the better buy.

Where a human answering service wins

  • Very low call volume where the monthly minimum costs less than any setup fee
  • Highly emotional or sensitive calls where the caller needs a person immediately
  • Complex, unscripted conversations that vary wildly call to call
  • Businesses with no diary system and no appetite to introduce one

Where an AI receptionist wins

  • Volume, because cost does not rise linearly with calls
  • Consistency, because it says the same thing at 2am as at 2pm
  • Booking directly into a live diary rather than taking a message
  • Simultaneous calls, which a single human operator cannot take
  • Full transcription and searchable records of every call

The cost comparison people get wrong

Answering services quote per call or per minute, which looks cheap at low volume and gets expensive quickly. An AI receptionist has a setup fee and a flat monthly line, which looks expensive on day one and cheaper by month four in most accounts. Work out your crossover point on your own volume rather than on anybody's example.

The option most people miss

Both. Run the AI on overflow and out-of-hours, and route emergencies and named accounts to a human service. That is what we recommend to about a third of the businesses we speak to, and it is usually cheaper than either on its own.

How to decide in ten minutes

Count your calls, count your misses, work out what a booking is worth, and get a quote from both. If nobody will give you a straight number until you have had three meetings, that tells you something too.
